The Challenge
A global nonprofit managing $180M in annual grants across 45 countries was tracking donor relationships in spreadsheets, grant disbursements in a legacy accounting system, and field outcomes in country-specific databases. The development team could not answer basic questions like "What is the lifetime value of donors acquired through corporate partnerships?" or "Which programme areas have the highest cost per outcome?" without weeks of manual data assembly.
Quarterly board reports required 6 weeks of preparation by a 4-person reporting team. Donor stewardship was generic — every donor received the same annual report regardless of their giving level, programme interests, or engagement history. Donor retention had declined from 72% to 61% over three years.
Our Approach
We built a unified platform that connects donor management, grant tracking, and impact measurement into a single system of record.
Donor CRM: We implemented a donor relationship management module that tracks every touchpoint — gifts, event attendance, email engagement, site visits, volunteer hours, board interactions. Each donor has a computed engagement score and a predicted churn probability (logistic regression model trained on 5 years of giving history). High-churn-risk donors are automatically flagged for personal outreach by their assigned relationship manager.
Grant Management: The grant lifecycle — from programme design through RFP, application review, award, disbursement, reporting, and closeout — is managed in a structured workflow. Financial data flows from the accounting system (Sage Intacct) via API, eliminating manual reconciliation. Budget-to-actual variance reports are generated automatically at the grant, programme, and portfolio levels.
Impact Measurement: Field teams report outcomes through a mobile-first data collection interface (built on KoboToolbox with custom extensions). Outcome indicators are standardised across programmes using a common taxonomy mapped to the UN Sustainable Development Goals. Cost-per-outcome metrics are computed automatically by linking programme expenditures to reported outcomes.
Automated Reporting: Quarterly board reports, annual donor impact reports, and regulatory filings (Form 990, charity commission returns) are generated automatically from the data warehouse. Reports are personalised — a donor who funds education programmes receives an impact report focused on education outcomes with photos and stories from the specific projects their gift supported.
